Student Financial Services Counselor

Position Summary

This position will provide exceptional customer service via in person interactions with students/parents/outside vendors/departments at our Student Financial Services (SFS) desk, emails and phones. You will need the ability to analyze costs, pending aid and payments to advise students as to how to proceed in the financial aspect of paying for their college education.


Essential Functions, Duties, and Responsibilities


  • Assist system setup, administration, and testing on all financial aid/billing systems, to include tracking current setup and progress, running test processes, and quality control; collaborate with IT, as assigned to implement change.
  • Ensure consistent compliance with financial aid regulations; maintain data integrity and compliance with privacy and data standards; ensure compliance with FERPA, and other regulatory requirements.
  • Contribute to the SFS team by communicating pro-actively regarding upcoming changes or challenges, brainstorming innovative solutions, cross-train on all functional team duties and display a willingness to shift duties as needed, identify areas of improvement, and other duties as assigned.
  • Collaborate with SFS team in communicating pro-actively regarding upcoming changes or challenges regarding billing, collections, refunds and cancellations.
  • Collaborates with faculty and staff to promote cooperative relationships that will result in opportunities to resolve financial concerns and complaints, or other demanding situations.
  • Keeps up to date with university, departmental, federal and state regulations, policies, and updates.
  • Represents SFS at outreach events (local high schools, community events, Orientation,)

Knowledge, Skills, and Abilities


  • Ability to provide accurate information in a friendly and welcoming manner
  • Ability to understand the needs of individual students and work to meet those needs
  • Knowledge and experience utilizing a Higher Education Financial Management system is preferred; Colleague knowledge is a bonus
  • Knowledge of or the ability to learn all Financial Aid rules and regulations is mandatory
  • Ability to work overtime as needed
  • Ability to prioritize work load to ensure all components of the job are completed timely and accurately
  • Ability to make rational decisions independently as it pertains to student needs and offer assistance that is both appropriate and within legal confines of our office
  • Ability to provide information, as needed, to President, Vice-President or Executives within the facility


Education and Experience


  • Associate Degree from an accredited college or university in Accounting, Business Administration, Information Technology, or another related field or
  • 4 years experience in a professional business setting; Financial Aid office at a Higher Education Learning facility is preferred;
  • Financial Aid experience, utilizing Colleague or another financial management system, will suffice on a year-for-year basis to replace the required education

  • Light sedentary office
  • Prolonged periods of sitting at a desk and working on a
  • Ability to lift up to 25
