Senior Project Support Coordinator for Finance

Purpose:

Assists and provide administrative support for the Vice President of Administration and Finance (VPAF) and the Office of the Comptroller.

Essential Job Functions:

  • Supports the Office of the Vice President for Administration and Finance and the Comptroller with a variety of administrative activities as needed. Responsible for ensuring the financial records of the university are properly maintain in accordance with university, state, and federal retention schedules.
  • Performs a wide range of financial assignments including but not limited to analysis of student accounts, depositing and expenditure analysis of accounting information, creating and maintaining financial accounting logs.
  • Assists in updating of respective website pages for all VPAF units.
  • Serves as travel liaison and assists in booking travel for VPAF units when needed.
  • Runs and created financial reports from the ERP system as required.
  • Corresponds with, assists, and directs staff, faculty, students, and parents on issues with student accounts and other matter relating to the VPAF/Office of the Comptroller.
  • Performs data entry and ensures accuracy and correction of all journal entries.
  • Prepares requisitions and maintains supply inventory for the VPAF/Office of the Comptroller. This includes creating tracking logs of requisitions and payments for audit, working with purchasing staff to ensure timely processing of requisitions and purchase orders and helps serve as financial support backup for the Facilities and Planning staff.
  • Distributes mail to the Office of the Comptroller staff including ensuring accounts receivables and accounts payables are getting checks and invoices timely.
  • Prepares deposits and payments and creates and maintains accounting logs of pertinent data for the VPAF/Office of the Comptroller.
  • Reviews timesheets/leave slips for accuracy before submission.
  • Coordinates and prepares filing system for new fiscal years and closes out older fiscal years to ensure accuracy of receivables/credits and expenditures of all invoices for Accounts Payable.
  • Works on special projects as assigned by the VPAF and Office of Comptroller to include assisting with Accounts Payable, Cashier's Office, Facilities and Planning, Information Technology Services, and Student Accounts when needed.
  • Performs simple financial reviews and prepares projections for estimating and creating ongoing PO/BPOs for purchasing across VPAF units. Works with accounting personnel to establish ongoing requisitions for each fiscal year for the VPAF and Comptroller areas as needed.
  • Helps support and train other VPAF staff with the budget and fiscal needs of their units.
  • Controls and manages PCARD purchases for VPAF unit.

Additional Duties and Responsibilities:

  • Other duties as assigned.

Qualifications:

  • High school diploma or GED required, Associate degree in Business or related field preferred.
  • Two years' general office experience required.
  • One year of experience with Microsoft Office 365.

Knowledge, Skills, Abilities, and Personal Characteristics:

  1. Must be able to communicate effectively with internal and external entities.
  2. Must be proficient and accurate with 10-key for data entry.
  3. Must pay attention to detail and keep accurate log information.
  4. Ability to maintain confidentiality of sensitive data.
  5. Self-starter and able to work consistently without direct supervision.

Certifications, Licenses, Registrations:

None required.

Physical Demands:

  • Light sedentary office work.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 25 lbs.
