Project Coordinator Security Sciences Institute

Purpose:

Provide support to the Assistant Provost, Director of the Security Sciences Institute (SSI), and Director of the Lincoln University Employment Academy (LUEA); manage the administrative and financial program frameworks overseen by the Assistant Provost; make sure that all processes are done efficiently and collaborate with other campus areas like admissions, marketing, and student success to assist in student recruitment, retention, and promotional initiatives.

Essential Job Functions:

  • Perform office management of the Assistant Provost's office; maintain budget, enter requisitions, complete budget revisions, and work orders for the office and associated programs.
  • Assist in the management of academic programs including answering inquires, advising, and enrolling students in certificate programs, provision of onboarding and orientation for new instructors/staff, and preparation of meetings and presentations.
  • Update Assistant Provost's calendar, schedule meetings, prepare agendas, maintain accurate and organized records of the office business, personnel, and website information.
  • Send reminders of upcoming administrative actions, prepare office documents as requested by the Assistant Provost, oversee administrative operations for all programs within the Assistant Provost's portfolio, collect data and create reports to assist with decision making for programs.
  • Maintain a system of tracking of all-procedural items that are received from and sent to faculty, staff, and students in the SSI, LUEA, and other related programs.
  • Coordinate program recruitment, retention, and orientation efforts with University Admissions, Marketing, and Student Success.
  • Assist in the development and promotion of events and programming.

Additional Duties and Responsibilities:

  • Assist the Division of Academic Affairs and the Office of Administration and Finance.

Qualifications:

  • Experience in working in an institution of higher education.
  • High school diploma or GED required.
  • Associate or bachelor's degree preferred.
  • Minimum of 5 years secretarial or administrative support experience required.

Knowledge, Skills, Abilities, and Personal Characteristics:

  • Excellent communication, organization, and social skills.
  • Knowledge of word processing, data management, and budget maintenance.
  • Knowledge of Colleague and Self Service.
  • Ability to quickly adapt and learn new processes.
  • Ability to work with a team or independently as needed.
  • Ability to think of alternate/creative ways of completing work when needed.

Physical Demands:

  • Light sedentary office work.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 25 lbs.
