Horticulture Administrative Assistant
PURPOSE:
The Lincoln University Horticulture Program is seeking an organized, detail-oriented, adaptable Administrative Assistant to support the goals of the Horticulture program.
The successful candidate is expected to work closely with and report to the State Horticulture Specialist, work from home, and be comfortable with data entry, reporting, assisting in the coordination of program operations, and helping with programs initiatives, which may include projects, grants, events, and various outreach programs.
ESSENTIAL JOB FUNCTIONS:
- Report to the State Horticulture Specialist.
- Maintain and organize program records, and monthly forms while coordinating with the State Horticulture Specialist and the personnel of horticulture program to ensure all reports and forms are submitted on time.
- Help with the preparation and submission of monthly and annual reports.
- Assist with organizing various program initiatives.
- Assist with the projects of the horticulture program and track timelines and deliverables.
- Communicate with personnel of the horticulture program to ensure good coordination among the projects of the program.
- Assist with training new employees on how to accurately submit monthly forms and reports.
- Coordinate and organize meetings of the horticulture program.
- Utilize Dropbox to accurately organize the documents of the horticulture program.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Ability to use Word, Excel, and PowerPoint to review and edit documents, develop spreadsheets, and develop presentations.
- Ability to use computer in all its functions, send and receive emails and attach and receive attachments.
- Ability to connect on Zoom to coordinate and organize meetings.
- Ability to use Dropbox to organize the documents of the horticulture program.
- A background in horticulture is desirable.
- Effective oral and written communication skills and willingness and ability to work in a team-oriented environment with a diverse group of faculty, staff and students are essential.
QUALIFICATIONS:
Knowledge, Skills, Abilities and Personal Characteristics
- Experience in administration and administrative support.
- Strong organizational and communication skills.
- Technical experience in the organization of documents.
- Ability to work independently with minimal supervision
- Ability to use Word, Excel, and PowerPoint to review and edit documents, develop spreadsheets, and develop presentations.
- Ability to use computer in all its functions, send and receive emails and attach and receive attachments.
- Ability to connect on Zoom to coordinate and organize meetings.
- Ability to use Dropbox to organize the documents of the horticulture program.
- A background in horticulture is desirable.

Certifications, Licenses, Registrations:
- A High School Diploma is required.
- A Driver's License is required.
- Technical experience in the organization of documents is required.
PHYSICAL DEMANDS:
- Light sedentary office work.
- Prolonged periods of sitting at a desk and working on a computer.
**This is a 12-month fixed term position, effective from the date of employment. Renewal on an annual basis is contingent upon job performance and funding availability.
