Facilities Coordinator

PURPOSE

Responsible for the day-to-day operations of the office; assigned coordination and oversee small projects as assigned by the Director of Facilities and Planning. Assist with preparations of the Capital Improvement Budget, coordinate rental of university fleet vehicles. Responsibilities and assignments include duties of office coordinator, scheduling meetings, preparing and maintaining office records, and correspondence pertaining to Facilities and Planning area of responsibility.

ESSENTIAL JOB FUNCTIONS

  • Administrative and other duties to include all projects encumbrances and payment processing from the Director and Project Managers.
  • Upload projects and corresponding bid documents on Building Connected as well as on the Facilities & Planning website.
  • Conduct Pre-construction conference and walk through, bid opening and scheduling, inspections, payments of small projects as assigned by Director.
  • Preparation and dissemination of Capital Improvement Budget request.
  • Help with consultants and contractors selection as well as serve as University contact person regarding communications on outside consultants and outside contractors on small projects. Rental of University fleet vehicles.
  • Help with Sub-Contractor Sodexo on all building and grounds issues as well as custodial.

ADDITIONAL DUTIES AND RESPONSIBILITIES

Other duties as assigned.

QUALIFICATIONS

High School Diploma. Knowledge and experience of working with contractors or consultants.

PHYSICAL DEMANDS

  • Light sedentary office work.
  • Prolonged periods of sitting at a desk and working on a computer. Ability to lift up to 50 lbs.
