Director of Financial Aid

Position Summary

This position will oversee all processes related to the application and disbursement of state and federal aid funds, including the Satisfactory Academic Progress (SAP) and return of Title IV Funds, coordination of student loan processing between students, federal government and the institution and the Title IV refunds and payments. Additionally, it will ensure the institution is in compliance with all federal and state regulations.


Essential Functions, Duties, and Responsibilities


  • Execute large batch processes to support general financial aid administration, billing and cancellation, refunds, data loan processes, return to title IV, and mass communications with a high diligence and precise accuracy
  • Perform system setup, administration, and testing on all financial aid/billing systems, to include tracking current setup and progress, running test processes, and quality control; collaborate with IT, as assigned to implement changes
  • Execute professional judgement on appropriate course of action and ensure compliance within federal/state/institutional regulations
  • Collaborate with faculty and staff to promote cooperative relationships that will result in opportunities to resolve financial concerns and complaints, or other demanding situations
  • Timely and accurate posting of all scholarships and outside financial aid to ensure student body is aware of cost, financial aid and necessary payment arrangements
  • Keeps up to date with university, departmental, federal and state regulations, policies, and updates
  • Monitor, reconcile/audit, and report on spending of aid funding

Knowledge, Skills, and Abilities


  • Knowledge and experience utilizing a Higher Education Financial Management system is required; Colleague knowledge is preferred
  • Knowledge of all Financial Aid rules and regulations is mandatory
  • Ability to work overtime as needed
  • Ability to prioritize work load to ensure all components of the job are completed timely and accurately
  • Ability to analyze financial aid accounts and to reconcile or audit those accounts on a monthly basis
  • Ability to provide information, as needed, to President, Vice-President or Executives within the facility


Education and Experience


  • Bachelor Degree from an accredited college or university in Accounting, Business Administration, Information Technology, or another related field
  • 2 years experience in a Financial Aid office at a Higher Education Learning facility
  • Financial Aid experience, utilizing Colleague, will suffice on a year-for-year basis to replace the required education
