Administrative Assistant

Position Summary


To assist the Director/Dean of Cooperative Research with daily administrative functions while
serving as the first point of contact of the public, students, faculty, and staff. To assist the
researchers successfully complete their research projects.


Essential Functions, Duties, and Responsibilities

  • Create hiring paperwork for dept-PTRs & SERs, including incentive pay & stipends.
  • Generate Requisitions for Cooperative Research department.
  • Collect paperwork for the Director's signature, make copies, then forward for
    processing.
  • Provide administrative assistance to professors regarding budget expenses such as
    budget revision, explaining the travel policy, inventory etc.
  • Make travel arrangements for everyone associated with Cooperative Research using the
    travel credit card or entering requisitions to reimburse them.
  • Purchase items with the department p-card.
  • Monthly reconciliations of the travel credit card, departmental p-card and fuel cards.
  • Coordinate the Cooperative Research Vehicle pool.
  • Collect monthly timesheets and verify they are correct.
  • Collect monthly Time and Effort Reports and verify they are correct.
  • Assist with keeping track of the Deans calendar of events.
  • Any special assignments or projects needed to be done.
  • Train new hires and update policy, procedures.

Knowledge, Skills, and Abilities

  • Excellent customer service skills required.
  • Ability to maintain confidentiality of sensitive information.
  • Working knowledge of internet and Microsoft office programs
  • Excellent organizational and interpersonal skills
  • Attentive to details and listens well.
  • Ability to multitask.
  • Self-starting and able to work consistently without direct supervision.

Education and Experience

  • A high school diploma.
  • 2 or more years office experience
  • Higher education experience is preferred

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 25 lbs.
