Academic Program Support Specialist

Position Summary

Provide academic support for the faculty and students in the four college departments in the College of Arts & Sciences; establish and maintain contact with prospective & incoming students in the Arts & Sciences major fields; maintain department/college websites; assist with the new online orientation program and tailor it to the College needs; assist with campus recruitment and retention efforts and assist marketing and University relations in the creation and updates of outreach and promotional materials for College departments.


Essential Functions, Duties, and Responsibilities


• Communicate with faculty, department heads, current students in majors, and
prospective students in the College of Arts & Sciences.
• Build academic schedules in Colleague; submit all related course forms, student and/or
grade forms; create faculty related forms including PTRs, adjunct/overload pay PTRs, leave requests, new position paperwork, etc.; create forms for new faculty or staff set up (keys, phone, email, office); create cost analysis and VPAA overload forms; enter book orders for each semester and collect syllabi from faculty for both digital and paper files; collect faculty evaluations annually; maintain accurate files for the College of Arts & Sciences in areas of oversight.

• Manage departmental budgets; enter requisitions using general funds, as well as all grant
funded projects for the College; participate in annual inventory; surplus item forms;
submit work orders as needed for MLK, Richardson Fine Arts Center, Darnel Hall and
Founders Hall.
• Set up face-to-face meetings/zoom meetings/catering requests/room reservations/travel for department heads, faculty, and students as needed.
• Assist with Honors Convocation Awards and Scholarships, the Art Show, Sigma Tau Delta Induction Ceremony, Philosophy Conference and LU Choir Spring Tour.
• Assist with the management of graduate programs in the College of Arts & Sciences and in the Office of Graduate and Extended Studies.
• Assist with College recruitment, retention and orientation needs; work with admissions, marketing and student success.
• Manage department web pages and assist in preparation of promotional materials for the College of Arts & Sciences. Knowledge, Skills, and Abilities
• Proficient in Microsoft Office and Colleague

• Excellent verbal and written communication skills.
• Ability to multi-task and keep organized records.
• Interpersonal skills appropriate to operate within a diverse population of faculty, staff,
and students.


Education and Experience


• High School Diploma or GED required.
• Three years of administrative/ clerical experience required.


Physical Requirements


• Light sedentary office work.
• Prolonged periods of sitting at a desk and working on a computer.
• Ability to lift up to 25 lbs.
