Position Summary

The Administrative Assistant I will provide a wide range of administrative support to the Directors, Deans, department staff and supporting elements.

Essential Functions, Duties, and Responsibilities

  • Calendar management, arrange and coordinate travel, coordination and preparation of meeting materials and recording meeting notes.
  • Support the administrative business functions of the department by entering purchasing, budget, and maintenance forms.
  • Prepare reports and letters, answer calls, sort mail, assign academic advisors.
  • Coordinate and manage the department budget with supervision of the department head.
  • Maintain inventory of office supplies.
  • Compile correspondence and maintain confidential information for faculty, staff, and students.
  • Assisting with HR paperwork such as time-effort, timesheet, and leave form.

Knowledge, Skills, and Abilities

  • Must have excellent organizational, communication, and social skills.
  • Proficiency in MS Office Suit, including Word and Excel.
  • Proficiency with Zoom and Microsoft Teams.
  • High degree of accuracy entering data into forms and/or spreadsheets.
  • Ability to maintain confidentiality of sensitive data.
  • Ability to spend long periods of time on the telephone and/or computer.
  • Self-starting and able to work consistently without direct supervision.
  • Ability to work with people of different cultures, races, and beliefs.

Education and Experience

  • Associate degree is preferred.
  • At least one year experience working in an office setting is required.
  • Experience working in a higher education institution is preferred.
