Position Summary
The Administrative Assistant I will provide a wide range of administrative office support for efficient day to day administrative operations.
Essential Functions, Duties, and Responsibilities:
- Calendar maintenance, organizing and scheduling appointments, booking travel accommodations, reimbursement reporting, requisition processing and Colleague.
- Create and maintain reports and spreadsheets, initiating, transferring, and tracking paperwork, manage procurement of goods and services, assist in daily office needs.
- General office support-filing and mail distribution.
- Support special assigned projects and events; and tracking University assigned deadlines and submission reporting.
- Write and distribute email, correspondence, memos, letters, and forms.
- Submit and reconcile P-card expense reports.
- Participation with meetings; agenda, setup and taking detailed minutes.
- Provide administrative support within the department by serving as backup support to other department staff.
- Answer departmental telephone and provide positive interaction from internal and external contacts.
- Learn and follow University regulations pertaining to the position.
Knowledge, Skills, and Abilities:
- Must have excellent organizational, communication, and social skills.
- Proficiency in MS Office, including Word, PowerPoint, and Excel.
- Strong calendar coordination and travel arrangement processes and tracking.
- Excellent computer, grammar, writing and interpersonal skills appropriate within a diverse population of faculty, staff, and students.
- Ability to learn quickly and very proficient with detail-oriented work.
- Ability to complete tasks with minimal supervision.
- Strong knowledge using office equipment such as printers, scanners, and fax hardware.
Education and Experience
- Associate degree is preferred.
- At least two years' experience working in an office management position is required.
- Experience working in a higher education institution is preferred.
Physical Requirements:
- Light sedentary office work.
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift 25 lbs.
